Job Summary
We are looking for a mature, proactive, and hands-on Recruitment Specialist and Admin Executive. You will independently manage end-to-end recruitment, office administration, attendance tracking, performance evaluation, and team motivation. This is a critical role to design and run a continuous hiring process for a growing financial advisory firm. You will help us break the cycle of repeated training and staff turnover by building simple, effective systems to attract, retain, and inspire the right people.

Key Responsibilities

  • Recruitment and Talent Acquisition (Core Focus)
  • Manage the complete recruitment cycle: understand hiring needs, create job descriptions, post on portals like Naukri and LinkedIn, source candidates, screen resumes, conduct initial interviews, coordinate with the founder, and close job offers.
  • Build and maintain a strong talent pipeline so the company is never short of quality candidates for finance, sales, operations, or support roles.
  • Design simple and repeatable recruitment processes and templates (such as application forms, interview scorecards, and offer letters) to make hiring fast and consistent.
  • Focus on staff retention from the first day. Conduct stay interviews, identify reasons for employee exits, and suggest improvements to reduce turnover.

Performance Management and Motivation

  • Track daily attendance, leave records, and performance metrics.
  • Conduct regular performance reviews, share feedback, and prepare simple reports for the founder.
  • Inspire and motivate team members through regular meetings, recognition programs, and team-building activities to help them achieve business goals.
  • Support basic training coordination and onboarding to help new joiners become productive quickly.

Office Administration and Functionality

  • Maintain smooth daily office operations. Manage stationery, vendors, cleanliness, utilities, and general administrative tasks.
  • Keep all employee records (attendance, leave, personal files, contracts) updated and organized.
  • Handle basic HR documents and compliance. Ensure the office is always professional and ready for client meetings.

Additional Duties

  • Prepare monthly reports on recruitment status, attendance, performance trends, and any retention risks.
  • Support the founder in building the organizational structure and company culture as the team grows.

Required Skills and Attributes

  • Excellent communication and interpersonal skills. You will be the first point of contact for all new talent.
  • Strong organizational and multitasking abilities. You will manage recruitment, administration, and team motivation at the same time.
  • Positive, mature, and motivating personality. Age 30 and above is preferred for better emotional maturity and stability.
  • Basic knowledge of MS Office (Excel, Word, PowerPoint) and comfort with online job portals.
  • Ability to work independently in a small team setup with minimal supervision.
  • Problem-solving mindset and a genuine interest in building long-term team stability.

  • A ready talent pipeline with 8 to 10 quality candidates at any given time.
  • Staff turnover reduced significantly through better hiring and motivation.
  • Clean, organized office systems and updated records.
